What usually happens

Most rollouts are a purchase, not an install.

Buying the seats is the easy half and it is the half that gets done. Here is what the other half looks like when nobody does it.

  • Seats, and then silence. A link goes round the office and a month later two people are using it to tidy up emails. Nobody else has signed in, and nothing about how the work gets done has changed.
  • Connected to nothing. It never reached the inbox, the drive or the sheet the work actually lives in, so every useful question ends in copying text out of one window and into another.
  • Nobody decided what it may reach. So it either reaches nothing worth having, or one person quietly connects it to everything and that decision is never written down anywhere.
  • One demo, never recorded. The person who joins in March learns it from a colleague's memory, and whoever set it up answers every question about it forever.
  • No record of what it did. A message goes out that should not have, and nothing can say what sent it. Or a job stops running, and nothing says it stopped, which is the one you find out about in March.
  • The person who owned it leaves. Nothing was written down because it was all in one head, so the next person starts again from the beginning.

Set up in your own Google Workspace or Microsoft 365, billed to you, in your name. I never hold your card, your passwords or your keys.

Connected, and gated

Connected to the tools named in the scope before we start. Anything that leaves your hands stops and waits for a person. That part is not optional and it is not configurable away.

Told when it stops

A check that tells you when a job has quietly stopped, because a job that finishes having done nothing is the expensive one. A crash gets fixed on Tuesday.

One training session, recorded

With the people who will actually use it, not a slide deck for the people who will not. The recording is yours, so a new joiner in March can watch it.

A named owner, and a runbook

Somebody inside your business owns this after I leave, and they have something written to follow rather than a memory of a meeting.

Thirty days, then it ends

Thirty days of support afterwards, and then the engagement is finished. A second use case is its own fixed fee, agreed the same way.

You leave with your team working in it, in your own accounts, with a runbook and a recording.

Your side of it

Two weeks is only two weeks if your side is ready.

Every line below is something only you can do, and together they are the reason this can be a fixed fee rather than an hourly rate. None of it is difficult. It just has to be done before week one rather than during it.

What I need from you.

This is the pre-work sheet every engagement starts with, scaled to a team. It goes out when you book.

  • An administrator for your Google Workspace or Microsoft 365, free for one thirty minute window.
  • Seats bought and billed to you, in your own name. I never hold your card or your keys.
  • A named person inside your business who owns this after I leave, and who will still be there.
  • The list of people getting a seat, with their work email addresses.
  • A decision on which tools connect, and somebody present who can say yes to it.
  • Any security or technology review started before week one, rather than started on the day.
  • A real calendar hold for the training session, with the actual people in it.

What this assumes.

Said out loud so the fee can be fixed, and so nothing on this list turns up as a surprise in week two.

  • You already have Google Workspace or Microsoft 365 and somebody can administer it. Setting one up from scratch is separate work.
  • Up to twenty five seats. More than that is a different conversation, not a bigger invoice.
  • Single sign on, staff directory syncing and custom security work are not part of this.
  • One training session, recorded. Further sessions are their own fixed fee.
  • Connections limited to the tools named in the scope before we start.
  • No moving your existing data across, and no custom software written.

If your side is not ready yet.

None of this is a penalty, and it is here rather than in a document you sign later. It is written down now so that it is already agreed rather than being worked out in the middle of week two.

  • The two weeks start when your side of the list is done, not on the day you pay. The deposit holds your place in the calendar.
  • Sessions run at the agreed time with the agreed people. A session nobody attends is a session used.
  • Anything outside the tools named in the scope is its own engagement with its own fixed fee, rather than an extension of this one.
  • If the list is not done within thirty days of the deposit, we move the engagement to the next open window.

    A deposit that comes off the invoice holds your place in the calendar, and the clock starts when your list is done.
